Data Retention Policy
This policy sets out how long MizTech Solution keeps the data it handles and what happens when that time is up. It supports our Privacy Policy. Our principle is simple: keep data only as long as there is a clear reason to, then delete it.
Retention schedule
| Data | Kept for | How it is removed |
|---|---|---|
| Demo requests submitted through the website | 24 months from submission | Deleted automatically by the server each day once they pass 24 months |
| Email correspondence about a demo request | 24 months from the last message | Deleted from the mailbox in a regular review |
| Safety Check results shown in your browser | Up to 30 minutes | Held in memory only, then discarded; never written to disk |
| Safety Check repeat-result cache | 15 minutes | In memory only, so a repeated check of the same address is not re-run |
| Safety Check report unlocks (email, optional name and company, address checked, grade) | 24 months | Then deleted automatically; earlier on request |
| Safety Check usage counter | Indefinitely | A total count only, with no addresses and no personal data |
| Web server access and error logs | 30 days | Rotated and deleted automatically |
| Website security event records (web application firewall) | Up to 90 days | Deleted automatically |
| Anti-abuse rate-limit counters | Up to 1 hour | Held in memory only and never written to disk |
| Customer account, contract and billing records | For the term of the agreement, then as long as tax, accounting and company law require | Deleted or anonymised at the end of the legal period |
| Data processed by SENTRA services for a customer, such as traffic logs and security events | As set out in the customer's agreement | Returned or deleted at the end of the service, as the agreement specifies |
| Backups | Until overwritten in the normal backup cycle | Deleted data leaves backups as they rotate out |
Exceptions
We may keep specific data longer than shown above when:
- the law requires us to keep it;
- it is needed to establish, exercise or defend a legal claim, or it is subject to a legal hold;
- it relates to a security incident or abuse that is under investigation.
When the reason ends, the normal schedule applies again.
Requests to delete earlier
You can ask us to delete your personal data before the end of its retention period by emailing privacy@sentra-ai.com. We will do so unless one of the exceptions above applies, and tell you if it does.
Review
We review this schedule at least once a year and whenever we change how we process data.
